Job Description:

Job Purpose:

  • The Operations Officer will oversee the efficient functioning of fleets, HR, Finance, and Logistics, ensuring day-to-day operations run smoothly.

Major Duties and Responsibilities:

Admin/Finance:

  1. Conduct physical counts of inventory items and report discrepancies.
  2. Track inventory temporarily taken out and ensure timely return.
  3. Assist in HR functions and duties.
  4. Support Operations Manager in preparing delivery plans.
  5. Manage operations stock, office supplies, inventory, and assets.
  6. Perform daily maintenance inspections of field staff vehicles.

Human Resource:

  • Provide clerical and administrative support to HR executives.
  • Compile and update employee records.
  • Process documentation and prepare reports on personnel activities.
  • Handle employee requests related to HR issues.
  • Assist in payroll preparation and candidate sourcing.

Finance:

  • Ensure procurement compliance with KRO financial policies.
  • Secure adequate funding for procurement needs.
  • Prepare financial reports as required.
  • Maintain proper record-keeping and reporting.
  • Collaborate with the program team on cash distributions.
  • Ensure proper authorization and processing of accounting vouchers.

Logistics:

  • Contribute to logistics plan development.
  • Supervise warehouse and stock movement activities.
  • Monitor asset management and update asset lists.
  • Prepare stock movement, fleet, and logistics reports.
  • Provide regular updates to the Project Manager.
  • Ensure responsible handling of material receiving, storing, and shipping.

Other Tasks:

  • Tasks as assigned by the line manager.

Job Requirements:

  • Bachelor’s Degree in BBA or a relevant field.
  • 5 years of experience in the related field.
  • Excellent communication skills in English (oral and written).
  • Proficient in word processing and Excel.
  • Strong team building and management skills.
  • Negotiation and decision-making abilities.
  • Proven ability to lead a diverse team effectively.
  • Time-management and organizational skills.
