Job Description:

Major Duties and Responsibilities:

HR Responsibilities:

  • Follow up with HR daily tasks.
  • Manage and update employee leave records.
  • Monitor daily attendance records and report to Admin/HR Officer.
  • Prepare monthly attendance reports.
  • Follow up with requirement plans assigned by Admin/HR Officer.
  • Address employee payroll and general queries.
  • Participate in recruitment efforts and complete background checks.
  • Prepare new employee personnel files.
  • Maintain records related to grievances, performance reviews, and disciplinary actions.
  • Conduct file audits for required employee documentation.
  • Update HR databases.
  • Assist in payroll preparation.
  • Process employees’ requests and provide relevant information.
  • Prepare reports and presentations for internal communications.
  • Provide orientation for new employees.
  • Develop and maintain a filing system.
  • Maintain contact lists.

Admin Duties & Responsibilities:

  • Manage daily tasks in the office.
  • Control and manage all stock, preparing monthly stock reports.
  • Oversee IHS Fixed Assets, Inventory, and databases.
  • Develop and maintain a filing system.
  • Coordinate with program staff and provide facilities.
  • Organize and maintain computerized records.
  • Supervise loading and unloading of materials.
  • Supervise guards, cleaner, drivers, and cooks.
  • Maintain registration book for incoming/outgoing mail.
  • Prepare and translate contracts, letters, and official documents.
  • Schedule duties for staff house and office guards.
  • Supervise the kitchen and ensure health and hygiene standards.
  • Control internet and photocopy machine usage.
  • Check and maintain administration records and filing system.
  • Supervise drivers and vehicles for good maintenance.
  • Update computerized store data for items and Fixed Assets.
  • Prepare and update inventory lists.
  • Maintain and arrange food and stationery stock with proper recording.

Job Requirements:

Qualifications:

Graduate from a recognized University in Business Administration, Economics, or Management

Experience:

Two or three years of experience as an Admin/HR assistant
