Job Description:

Join WVA as a Supply Chain Assistant, where you will contribute to the execution of business requirements and play a vital role in the Purchase to Pay tasks. This position involves managing Purchase Orders, implementing Quality Control/Assurance, and ensuring effective Supplier Contract and Relationship Management.

Responsibilities:

Execution of Business Requirements:

  1. Understand SCM’s business requirements and align daily work with NO Procurement Policy.
  2. Receive and compile approved requisitions to facilitate the procurement process.
  3. Develop Market Solicitation Tools, Commercial contracts, and offer letters.
  4. Purchase to Pay Tasks:
  5. Assist in daily monitoring, updating, and reporting of WVA Supply Chain Planning Tool activities.
  6. Liaise with user departments for procurement plan consolidation.
  7. Link Purchase Requests to Procurement Plans and prioritize purchases.
  8. Implement Quality Control/Assurance and KPIs for contractual terms, costs, and schedules.
  9. Resolve supplier inquiries and payment issues in collaboration with Finance.
  10. Purchase Order (PO) Management and Reporting:
  11. Prepare and expedite the delivery of goods/services through Purchase Orders.
  12. Conduct spend analysis for strategic sourcing and Supplier Relationship Management.
  13. Track and analyze procurement performance against established target levels.
  14. Process suppliers’ invoices for payment.
  15. Supplier Contract and Relationship Management:
  16. Conduct market research to identify potential supply sources.
  17. Identify and recommend potential suppliers/vendors.
  18. Manage record-keeping for contract-related correspondence and documentation.
  19. Release POs to suppliers for spot buys and assigned categories.
  20. Data Management, Analysis, and Reporting:
  21. Collect and organize data from projects and business units.
  22. Generate status reports at regular intervals for each project and consolidated procurement status reports.
  23. Perform daily reconciliation exercises to maintain data validation, integrity, and accuracy.
  24. Draft relevant audit responses and maintain contract-related files.

Other:

  • Adhere to WV Child and Adult Safeguarding policy and standards.
  • Adhere to WV accountability standards.
  • Be aware and prepared to implement WV Afghanistan Humanitarian and Emergency Affairs plan.

Job Requirements:

  • At least 2 years of working experience in Procurement and Logistics or Accounting field.
  • Bachelor’s degree in any field of study; graduation in Economics is preferred.
  • Ability to perform analysis, modeling, and interpretation of data.
  • Knowledge of financial rules, regulations, and purchasing techniques.
  • Fluency in oral and written English.
  • Experience in Microsoft Office package (Word, Excel, PowerPoint, Outlook, Teams).
  • Working knowledge of Enterprise Resource Planning (ERP) system is desirable.
  • Valid certification in relevant professional Societies is an added advantage.
