UA provides basic health services, education, and skill development programs, actively supporting humanitarian & development sectors such as Healthcare, Nutrition, Education, Scholarships, Technical Vocational Education Trainings, Family Support Programs, Emergency Response, Livelihoods, Food Security, Shelter, Construction/Rehabilitation of community-level infrastructures, Environmental Protection, and WASH.

Job Description: Admin and Logistics

Purpose and Scope of Assignment:

The Admin and Logistics position works under the overall supervision of the Administrative Officer and Procurement/Logistics Officer with technical advice and guidance from the Project Manager.

Duties and Responsibilities:

  1. Make appointments, coordinate meetings, and schedule conference rooms for program/project staff.
  2. Assist in arranging hotel and airline reservations and local travel plans for head office and project staff.
  3. Develop and maintain computerized spreadsheets and databases, generating reports and refining presentation materials.
  4. Maintain an accurate filing system for project and office documents, complying with Union Aid management policies.
  5. Draft correspondence and reports as required.
  6. Provide logistical support for meetings and ensure availability of goods and services for smooth office operations.
  7. Assist in the preparation and update of lists for materials, assets, and equipment, and prepare requisitions for procurement.
  8. Respond to routine queries from project personnel and stakeholders.
  9. Collaborate with project units to exchange information on Administrative issues for correct and timely services.
  10. Identify problems in administrative areas and suggest alternative solutions.
  11. Facilitate workspace allocation and arrangements for new staff.
  12. Organize and facilitate meetings and special events.
  13. Supervise admin department purchasing, inventory, and requisitioning of supplies and equipment.
  14. Follow up on deadlines, commitments, and coordination of report collection and submission.
  15. Supervise external suppliers to ensure quality and reliable services.
  16. Perform other related duties as assigned.

Job Requirements:

  • Diploma in Business Administration; Bachelor’s degree desirable.
  • Minimum 3 to 5 years of Admin/Logistic/Procurement experience in NGOs and international organizations.
  • Fluency in English and local languages.
  • Flexible, positive attitude, ability to work under pressure, and high commitment.
  • Excellent communication and interpersonal skills.
