Job Description – Admin/Finance Officer:
The Operations Officer at KRO plays a pivotal role in ensuring the smooth operation and maintenance of fleets, HR, Finance, and Logistics. This role encompasses the day-to-day management of fleet operations, including maintenance, human resources, financial operations, and logistical aspects.
- Conduct physical inventory counts according to the schedule and promptly report any discrepancies to the supervisor.
- Monitor the temporary removal of inventory items by office staff or individuals, ensuring timely returns.
- Assist in HR operational activities and duties.
- Aid the Operations Manager in formulating delivery plans for distributing items to various recipients.
- Manage operations stock, office supplies, inventory, and assets.
- Conduct daily maintenance checks on vehicles or other equipment for field staff.
- Provide administrative support to HR executives.
- Maintain and update employee records in both hard and soft copies.
- Process documentation and generate reports related to personnel activities.
- Address employee queries regarding HR policies and regulations.
- Assist in payroll preparation and candidate sourcing for recruitment.
- Ensure procurement aligns with KRO financial policies and procedures.
- Secure adequate funding for procurement needs.
- Generate relevant financial reports as necessary.
- Maintain meticulous records and timely reporting at the office.
- Collaborate closely with the program team on cash distributions.
- Ensure proper authorization and processing of accounting vouchers.
- Contribute to developing logistics plans aligning with broader policies and standards.
- Oversee and meticulously record warehouse and stock movements in adherence to KRO procedures.
- Monitor asset management and update asset lists as required.
- Prepare stock movement, fleet, and logistics reports.
- Provide regular updates to the Project Manager on logistical activities.
Other duties may be assigned by the line manager.
- Bachelor’s Degree in BBA or relevant field.
- Minimum 5 years of experience in a related field.
- Excellent communication skills in English (oral and written).
- Proficiency in word processing and Excel.
- Strong team-building and management abilities.
- Proficient negotiation and decision-making skills.
- Capacity to drive measurable results through diverse teams.
- Effective management of multicultural and multidisciplinary teams.
- Strong time-management and organizational skills.
