Job Summary:
Are you passionate about making a positive impact in Afghanistan? Join Islamic Relief Worldwide (IRW) as a Program Assistant under the HELP Program. As an international humanitarian organization, IRW has been dedicated to providing emergency relief and transformative development projects in Afghanistan for over 23 years. In this role, you will work under the guidance of the Program Implementation Coordinator, contributing to the operational success of the HELP Program by providing administrative support and assisting in information management.
Duties & Responsibilities:
As a Program Assistant, your primary duties and responsibilities will include:
- Operational and Administrative Support:
- Facilitate the formulation and compilation of HELP Program Procurement Plans, ensuring timely implementation.
- Update HELP program output trackers to monitor project progress.
- Assist in producing weekly, monthly, and interim reports by collecting and compiling project data from the field.
- Support the HELP -MEAL team in updating the project Logical Framework Analysis (LFA) as per agreed milestones.
- Develop and maintain an efficient filing system for the team, including processing calls for proposals.
- Update and manage team databases and mailing lists using Microsoft Office.
- Contribute to the electronic filing of team documents and liaise with field offices for information sharing.
- Coordinate work activities, meet deadlines, and provide support to other Program staff.
- Act as the main contact during team members’ absence, following up on emergencies and sharing workload with Program Assistants from other teams.
Travel and Events Management:
- Maintain and regularly update travel plans and field visit schedules, liaising with field offices.
- Format, distribute, and file trip requests.
- Coordinate logistical arrangements for workshops in different areas.
Job Requirements:
To be successful in this role, you should have:
Education:
Bachelor’s degree in economics, Business Administration, public administration, or a relevant field.
Experience:
- 2-5 years of work experience in a relevant field.
- Previous experience with an international organization is preferable.
Required Skills:
- Ability to prioritize multiple tasks.
- Strong teamwork and communication skills.
- Familiarity with report preparation.
- Proficiency in Dari, Pashto, and English, with good knowledge of MS Office.
- Punctuality, timeliness, and ability to meet deadlines.
- Willingness to travel to provinces when required.
