Job Summary:
As a Senior Security & Admin Officer at Women for Afghan Women (WAW), you will play a crucial role in ensuring the safety and smooth functioning of our operations in Afghanistan. This position requires strict adherence to WAW rules and regulations.
Duties and Responsibilities (Security):
- Regularly monitor security cameras to ensure prompt responses to potential concerns.
- Collaborate with the admin department to verify all visitors before allowing entry.
- Train provincial sub-office guards on security matters and updates, traveling to provinces when necessary.
- Stay informed about security issues at WAW’s provincial offices and report them to the CD on a daily, weekly, and monthly basis.
- Assist the Admin department with transportation and site visits for employees.
- Maintain close contact with INSO Afghanistan and UN Security for security updates.
- Analyze security reports regularly and alert staff about relevant concerns in a timely manner.
- Conduct security assessments of WAW facilities/centers.
- Monitor and assess security situations in provinces where WAW operates.
- Liaise and coordinate with government and local authorities when needed.
- Prepare provincial security plans and security risk assessments.
- Draft quarterly incident reports and conduct security induction briefs for new staff and visitors.
- Ensure timely submission of significant incident reports.
- Provide input to determine regional security levels.
- Conduct security assessments and provide advice on security measures for various activities.
- Perform basic first aid in emergency situations.
- Be available 24/7 to follow up on security incidents, especially in emergencies.
- Provide input to the tracking system and participate in the security clearance process.
- Inform and make recommendations to all staff regarding travel authorization considerations.
- Participate in internal and external meetings.
- Undertake any other tasks assigned by the line supervisor.
Admin Responsibilities:
- Organize and maintain an efficient filing system for administrative materials and documents, ensuring necessary confidentiality.
- Maintain accurate fuel records and logbooks for generators and vehicles, reporting regularly to the supervisor.
- Process Purchase Orders for Food, Facility, and Office equipment regularly.
- Manage and arrange Food and Stationary Stock with a proper recording system.
- Supervise the work of office staff (cook, cleaner, guards, drivers) and provide regular feedback.
- Monitor building and equipment maintenance, taking appropriate action.
- Control stationery and food expenses, maintaining proper records.
- Submit monthly attendance reports.
- Undertake any other related tasks assigned by the direct supervisor.
Job Requirements:
- Bachelor’s degree in relevant fields.
- 4-5 years of relevant work experience with NGOs or INGOs.
- Proficiency in English and knowledge of national languages.
- Strong report-writing skills in both national and English languages.
- Computer proficiency, especially in MS Office programs.
- In-depth knowledge of Afghan culture and context.
- Ability in predicting security risks and managing them.
- Problem-solving and analytical skills.
- Excellent communication, interpersonal, and teamwork skills.
